This policy explains how Lafayette Standard Co ("Vantage," "we," "us") handles personal information in connection with our AI-conducted feedback interview platform (the "Service") and our website at vantagefeedback.ai.
Vantage lets organizations and managers ("Customers") collect structured feedback. The Service invites people ("Reviewers") to complete an AI-conducted voice interview about a person being reviewed ("Subject"), and then generates a synthesized feedback report.
Vantage plays two different roles, and your rights depend on which applies.
When we act for our Customers (processor / service provider). When a Customer uses Vantage to run reviews, the Customer decides who to invite and why. For the personal information of Reviewers and Subjects collected through reviews, the Customer is the controller / business and Vantage processes that information on the Customer's behalf under our customer agreement. If you are a Reviewer or Subject and want to exercise rights over that information, you should generally contact the Customer that invited you. We will assist them in responding.
When we act for ourselves (controller / business). When we collect information directly, such as account registration, billing, support requests, and website usage, Vantage is the controller / business and this policy governs directly.
Customer account information (we are controller): name, work email, company name, role, login credentials, and billing information processed by our payment provider.
Review content (we are processor):
Technical and usage information (we are controller): IP address, device and browser data, log data, product usage events, and essential authentication or session cookies. We do not use session replay tools or third-party analytics trackers.
We use information to provide and operate the Service, conduct the AI interview, process and analyze transcripts of responses, generate reports, secure and improve the Service, handle billing and support, and meet legal obligations. We process review content only to provide the Service to the relevant Customer and per their instructions.
We do not sell personal information, and we do not use review content to train our own or any third party's general-purpose AI models.
Reviewers complete the interview by speaking, and their speech is converted to text. Your device (your web browser) performs this conversion in real time. Depending on your browser, this may transmit audio to your browser's provider (for example, Google) to perform the transcription. Vantage does not receive or store any audio recording — only the resulting text transcript is sent to and stored by us.We obtain each Reviewer's consent before the interview begins.
We do not create voiceprints or other biometric identifiers. We do not use voice data to identify, authenticate, or distinguish individuals, and we do not perform voice matching or speaker recognition.
Transcripts are retained as described in Section 8.
We share information with:
Service providers (subprocessors) who help us run the Service, including:
We do not sell personal information or share it for cross-context behavioral advertising.
The Service uses AI to conduct interviews and generate reports. AI-generated output can be incomplete or inaccurate. Reports are intended as developmental and advisory input for human review, not as a standalone basis for any employment decision. Feedback is presented to the Subject in aggregated form, without attaching individual Reviewers' names.
If a response appears to include a serious safety, harassment, discrimination, self-harm, violence, or legal disclosure, the Service may pause the interview, show support resources, flag the relevant transcript segment for human review, and exclude that segment from generated reports until it is handled appropriately. When this happens, Vantage personnel are notified so a person can review the flagged segment and determine appropriate next steps, which may include informing the relevant Customer.
We retain personal information only as long as needed for the purposes above or as required by law. Interview transcripts and generated reports are retained for 12 months after a review's report is delivered, after which they are deleted from active systems on a scheduled basis. A Customer may also delete a review, or request earlier deletion, at any time. When a review is deleted, the associated review record, participant records, interview responses, report content, and review-linked session logs are deleted from active systems, subject to legal retention requirements and backup expiration schedules. Consent records — the timestamped log of each participant's agreement, the exact terms, and the version shown — are retained as evidence of consent for 24 months from the date consent is given, independent of any review deletion, and are then deleted. Saved PDF versions or other files the Customer downloads may persist outside the Service.
We use administrative, technical, and physical safeguards including encryption in transit and at rest and access controls. No system is perfectly secure.
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing.
If you are a Reviewer or Subject, requests about review content should generally go to the Customer that invited you. For information we control, contact us at chander.tripathi@lafayettestandard.com. We will verify your identity before responding.
The Service is for workplace use and is not directed to anyone under 18. We do not knowingly collect their information.
We may update this policy and will post the new effective date. Material changes will be communicated as required by law.
